Minimum Qualifications

  • High School Diploma
  • 2 years related work experience 
  • Excellent working knowledge of Microsoft office suite
  • Communication skills, both oral and written, are necessary 
  • Willingness to learn the NCCCS databases and NCSBCN systems
  • Experience with publication of fliers and brochures

Preferred Qualifications

  • Associates Degree in Office Administration or related field and two or more years of related experience. Knowledge of social media applications

Position Description

The Administrative Assistant to the Small Business Center is responsible for performing all clerical/support duties necessary for the efficient operation of the Small Business Center. This position directly reports to the Small Business Center Director.  The ability to effectively and accurately perform a variety of complex and responsible administrative duties for the assigned area is critical to experiencing success in this position.
 
This position is assigned to the VGCC South Campus, in Creedmoor NC; although, some travel to other counties in the college’s service area could be needed. This position is assigned to the VGCC Main Campus in Henderson, NC; although, some travel to other counties in the college’s service area is possible. This position does not offer the ability to telework Due to the nature of this position.

Description:

  • Greet visitors and callers, handle their inquiries, and direct them to the appropriate people or resources according to their needs.
  • Maintain complete confidentiality regarding all Center clients and activities.
  • Manage, organize and maintain detailed paper and electronic records and files.
  • Assist with communication/management of instructors
  • Maintain department webpage listings and online schedules
  • Assist with handling online registration for classes.
  • Develop a working knowledge of the NCCCS/Datatel database and NCSBCN online system
  • Develop a working knowledge of the NCCCS purchasing system- E-procurement
  • Compose, type, and distribute meeting notes, routine correspondence, contracts, personal service agreements, newsletters, and reports.
  • Assist with registration and other Customer Service activities at the Center.
  • Assist the Center Director in scheduling and preparing seminars, workshops, and other special events to include registration, contacting attendees, and posting notices to social media.
  • Scheduling counseling sessions, contacting clients, and updating files.
  • Monitor and manage resources such as databases, news articles, etc.
  • Maintain office supplies inventory by monitoring inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies, and storing supplies.
  • Expertise in quality customer service is essential.
  • Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
  • Continually develop and improve skills through professional development.
  • Willingness to work occasional evenings and weekends as needed. 
  • Complete special projects and assignments as required and perform related duties as assigned.

Physical Demands:

  • Light work that includes moving objects up to 30 pounds.
  • Sedentary work that primarily involves sitting/standing.
