Minimum Qualifications

Education:

Associates degree in Information Systems, Accounting or related field.

Proven skills with computer spreadsheets, Word Processing, and database programs.   Five years of work experience in an educational/office setting.   

 

Preferred Qualifications

Background and experience similar to TRiO project participants a plus.  The TRiO participant criteria is 1st generation college, that is neither parent received a college degree by the applicant’s 18th birthday, or low income, or disability.  

Position Description

Carteret Community College is accepting applications for a full-time Office Manager in the TRiO program office.   Benefits include paid vacation leave, paid sick leave, twelve paid holidays per year, low cost health, dental, and vision insurance.   We also enjoy a 4 day work week (Monday - Thursday) during the summer.

Salary Range:  $31,274. to $41,953, commensurate with education and experience.

The Office Manager for TRiO Programs provides high level administrative and clerical support for this department.  Duties include:

  • Perform complex and confidential database, accounting and administrative activities for the Director, independently respond to general correspondence of a routine nature; prepare reports and graphic materials as assigned; gathers, collates, and manipulates data to ensure that regulatory or accrediting agencies receive appropriate forms and reports.
  • Respond to sensitive complaints and requests for information, materials and supplies from the students, faculty, tutors and staff; assist in interpreting and applying policies and procedures.
  • Prepares and assembles web-based reports for Director and the Department of Education, as well as handouts, manuals, student course schedules and transcripts and other materials and distribute to staff; take the lead in organizing functions and activities promoted by the Program.
  • Assist in $250k+ budget preparation and administration; responsible for preparing cost estimates for budget recommendations; Record keeper for personnel timesheets, travel requests and reimbursement, tutor contracts, timesheets and all necessary paperwork. Authorized by Director to make some decisions on her behalf.  Maintains office supplies and equipment by preparing and follow up on all purchase orders and requisitions. Schedules maintenance for extensive electronic equipment   necessary for office and students.
  • Initiate and maintain a variety of confidential files and records including budget, production and cost records; all manner of student records including academic, personal, financial; maintain records related to specific area of assignment; input data and maintain specialized software computerized data bases. Work with vendor of software to maintain training on updates and fix bugs.   Discretion is absolutely required.
  • Receive, sort and distribute incoming and outgoing correspondence for the program.
  • Work closely with financial aid, registrar’s office, institutional computing, purchasing agent, assistant to VP Finance, comptroller, bookstore, vendors, tutors and personnel to ensure that audit guidelines, procedures and paperwork are communicated and correctly processed for all students and staff members.
  • Assist students in the computer lab.  Make sure equipment is working properly and be proactive in the maintenance of all facilities and equipment.
  • Collects and compiles information into database to generate complex annual reports for the Department of Education.  
  • Create, manage and update all content in TRIO Moodle page.
  • Maintain bulletin board and TV PowerPoint for advertisement purposes.

Other duties as assigned in order to provide administrative support to achieve legislatively mandated goals and objectives for the Student Support Services Program and the College.

Some heavy lifting may be required.  This position entails primarily sedentary activity which involves paperwork, although some activities outside of the office environment may be required.  Some overnight travel may be required.
