Minimum Qualifications

Associate degree in Office Systems Technology or a related field and one to two years of Administrative experience; or any equivalent combination of education and experience which provides the required skills, knowledge, and abilities.  Must have good computer/word processing skills and good communications skills.

Preferred Qualifications

Physical Requirements:   Must be physically able to operate a variety of automated office machines including copier, computer, typewriter, etc.  Must be physically able to exert up to ten pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.  Position involves mostly sedentary work which requires sitting most of the time, but may involve walking, standing, or stooping for brief periods of time.  Must be able to lift and/or carry weights of approximately twenty pounds.
 
Data Conception:   Requires the ability to compare and/or judge the readily observable functional, structural, or compositional characteristics (whether similar to or divergent from obvious standards) of data, people, or things.
 
Interpersonal Communication:   Requires the ability of speaking and/or signaling people to convey or exchange information.  Includes the giving of instructions to students, the general public, etc.  Includes the receiving of information and instructions from supervisor.

Intelligence:   Has the ability to apply rational systems such as computer operations, secretarial science, etc., in order to solve problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in written, oral, diagrammatic, or schedule form.
 
Verbal Aptitude:   Requires the ability to record and deliver information and to follow verbal and written instructions.

Knowledge of Job:  Has, or works to gain, comprehensive knowledge of the procedures, practices, and purpose of Pitt Community College and Off-Campus Programs as they pertain to the performance of duties relating to the position.  Has considerable knowledge of practices and procedures as they apply to the functions of Off-Campus Programs.  Has thorough knowledge of office practices and procedures and the care and use of a variety of office machines and equipment used in recordkeeping, accounting and report preparation.  Has the ability to type proficiently with speed and accuracy. Is able to understand and apply established rules, procedures and instructions to the maintenance and preparation of financial records.  Has working knowledge of laws, rules, policies and regulations that apply to the functions of Pitt Community College and Off-Campus Programs. Has the ability to keep abreast of any changes in policy, methods, computer operations, equipment needs, policies, etc., as they pertain to departmental operations and activities. Position Description

Under general supervision, the purpose of the position is to perform reception, clerical, outreach, recruitment, and registration functions in support of Off-Campus Programs and Evening/Weekend College.  Position is responsible for answering telephone calls and greeting visitors, providing excellent customer service, typing and/or processing documentation, gathering information, maintaining calendars, student registration, maintaining files/records, overseeing daily activities of work-study students, planning special events, recruiting students, and performing other tasks related to activities of the department. Performs related work as directed.

 

Specific Duties and Responsibilities

Welcomes all students, staff, faculty, and guests to the Centers.
 
Answers questions and provides general information via telephone, email, and in person.
 
Prepares and maintains student files.
 
Assists students with registration for  Curriculum and Continuing Education courses.
 
Demonstrates a working knowledge of PCC enrollment, advising, and registration processes and services.
 
Works with AVP to schedule rooms for classes, programs, and special events.
 
Maintains up-to-date literature on programs offered at our off-campus locations.
 
Works with AVP and others to orient students to our various locations.
 
Attends events as directed to share information about PCC, Off-Campus Programs, and Evening/Weekend College with current and prospective students.
 
Conducts marketing and recruitment tasks as necessary.
 
Proficiently uses appropriate software to track students needing assistance, registration, or waiting to see a staff member.
 
Sends information to students and prospective students using letters, postcards, and other means.
 
Ensures classroom set-up is complete prior to scheduled classes which may include moving tables and/or chairs, setting up laptops, and other duties.
 
Provides assistance to instructors as needed.
 
Maintains confidentiality of departmental documentation and issues.  Provides assistance or backup coverage to other employees or departments as needed.
 
Assists in coordinating or conducting special projects and activities.
 
Maintains a complex filing system for the entire department.
 
Upholds the principles of professionalism and displays a professional image and good character at all times.
 
Coordinates arrangements for various meetings, which may include preparing agendas and meeting packets, coordinating room/equipment setup, coordinating food/refreshments, attending meetings, recording/transcribing meeting minutes, distributing documentation, maintaining records, or other tasks as necessary.
 
Assists in gathering, organizing, and/or processing information, documentation, or statistical data; prepares, assembles, and/or distributes information, reports, surveys, questionnaires; submits required reports as appropriate.
 
Ensures appropriate information is maintained on the electronic bulletin board for the Centers.
 
Maintains inventory of office equipment and supplies.  Ensures that all equipment is maintained and serviced properly.  Orders and distributes supplies as needed.
 
Operates and maintains a variety of standard office machines and equipment including computer, typewriter, copier, calculator, etc.
 
Keeps all sensitive information protected and strictly confidential; maintains confidentiality in accordance with college, FERPA, and other requirements.
 
Participate in committees and other meetings as appropriate.
 
Performs other duties as required.
 
Additional Expectations: Hours will be determined with the supervisor to allow the employee to fulfill the assigned duties and responsibilities and will include evening hours and necessary travel.
