Minimum Qualifications

High School Diploma required. One to two years of administrative/clerical experience. Expertise in MS Office Excel, PowerPoint, Word, Colleague, Informer and the ability to independently support, troubleshoot, and maintain computer equipment. 

Physical Requirements:   Must be physically able to operate a variety of automated office machines including copier, computer, etc.  Must be physically able to exert up to ten pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Position involves mostly sedentary work which requires sitting most of the time, but may involve walking, standing, or stooping for brief periods of time.  Must be able to lift and/or carry weights of approximately twenty pounds.
Data Conception:   Requires the ability to compare and/or judge the readily observable functional, structural, or compositional characteristics (whether similar to or divergent from obvious standards) of data, people, or things.
Interpersonal Communication:   Requires the ability of speaking and/or signaling people to convey or exchange information.  Include the giving of assignments and instructions to assistants.  Include the receiving of information and instructions from supervisor.
Language Ability:   Requires the ability to read a variety of documents and reports.  Requires the ability to prepare and/or type documents and reports such as newsletters, Division objectives, graphics, and general letters of correspondence, etc., using the proper format, punctuation, spelling and grammar.  Requires the ability to communicate with co-workers, supervisor, other staff members, students, instructors, etc., with poise, voice control, and confidence.
Intelligence:   Has the ability to apply rational systems such as computer operations, secretarial science, human relations, etc., in order to solve problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in written, oral, diagrammatic, or schedule form.
Verbal Aptitude:   Requires the ability to record and deliver information and to follow verbal and written instructions.
Numerical Aptitude:   Requires the ability to utilize mathematical formulas; add and subtract totals; multiply and divide; determine percentages and decimals; and determine time and weight.
Form/Spatial Aptitude:  Requires the ability to inspect items for proper length, width and shape.
Motor Coordination:   Requires the ability to coordinate hands and eyes in utilizing automated office equipment.
Manual Dexterity:   Requires the ability to handle a variety of items, office equipment, control knobs, switches, etc.  Must have moderate levels of eye/hand/foot coordination.
Color Discrimination:   Does not require the ability to differentiate colors and shades of color.
Interpersonal Temperament:   Requires the ability to deal with people beyond receiving instructions.  Must be adaptable to performing under minimal stress when confronted with an emergency.
Physical Communication:  Requires the ability to talk and/or hear (talking - expressing or exchanging ideas by means of spoken words; hearing - perceiving nature of sounds by ear.)
Driving: Must have a valid NC Driver's License and be able to drive for events and functions that pertain to this position.

Position Description

Under general supervision, performs a variety of clerical, secretarial and operational duties in support of the Financial Aid Department. Reports to the Director of Financial Aid.

Performs various administrative/clerical duties in support of Financial Aid staff.
Performs word processing duties including, but not limited to, the composition and typing of routine correspondences, coping/scanning documents, verifying documents, etc.
Sorts and distributes mail as necessary.
Maintains and organizes files; ensures files are appropriately archived or destroyed as needed.
Answers telephone calls and provides information to callers, takes messages, or routes call to appropriate individual; places outgoing calls.
Greets visitors, ascertains nature of business, and provides assistance as needed or directs visitors appropriately.
Keeps all sensitive information protected and strictly confidential; maintains confidentiality in accordance with college, FERPA, and HIPAA requirements.
Provides program information to current and prospective students, parents, college offices, and external agencies.
Maintains inventory of Financial Aid Department and supplies and ensures all equipment is maintained and serviced properly.
Operates and maintains a variety of standard office equipment including computer, copier, fax machine, scanner, calculator, telephone, etc.
Assists with the development, revision, and availability of Financial Aid marketing materials and the dissemination of materials to various social media outlets.
Assists admissions and registration as needed.
Attends in-service training and other professional development opportunities, including attendance at off-campus activities, as feasible, to upgrade skills to meet new technological demands and other developments in the administrative field.
Attends the workplace regularly, reports to work punctually, and follows a work schedule that meets the needs of the Financial Aid Department.
Completes duties and responsibilities in compliance with college standards, policies, and procedures.
Assumes other necessary responsibilities and performs additional tasks as assigned in meeting the needs of the program(s), division, and college.
