Minimum Qualifications

QUALIFICATIONS:

 

Knowledge of:

 

  • Microsoft Office Suite software (Word, Excel, PowerPoint, and Access)
  • Principles and procedures of record keeping
  • Basic principles of business letter writing and report preparation
  • English usage, spelling, grammar and punctuation
  • Basic word processing methods, techniques and programs
  • Basic mathematical principles

 

Ability to:

 

  • Interpret and apply the policies and procedures of the function to which assigned
  • Perform general secretarial and clerical activities including the maintenance of appropriate files and compiling information for reports
  • Type and word process at a speed necessary for successful job performance

EXPERIENCE AND TRAINING GUIDELINES:

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:

 

Minimum Education/Training:

  • High School diploma 

Minimum Experience:

  • 1-2+ years of experience in an administrative/clerical capacity involving public contact with responsibilities requiring tact and confidentiality. 
  • Advanced computer skills with knowledge of all Microsoft Office Programs, Web-based environments and ERP software (i.e. Ellucian/Colleague)

Preferred Qualifications

Preferred Education/Training, Experience, Skills:

  • Associates Degree or higher with a combination of equivalent experience. Prefer 2-3+ years related experience in an administrative/clerical capacity. Experience working in a community college environment, preferably with first responder training.

 

Position Description

DEFINITION:

 

The principal purpose of this position is to provide administrative support to the division’s programs for the efficient operation of the division. This position may perform a variety of complex and confidential administrative duties and will interact with faculty, staff, students, and the public. 

 

SUPERVISION RECEIVED AND EXERCISED:

 

  • Receives direct supervision from the Director of EMS Programs
  • Does not exercise supervision, but may provide work direction or advice to other team members (i.e. part-time, work-study, etc.)

DUTIES & RESPONSIBILITIES (ESSENTIAL FUNCTIONS):

ESSENTIAL AND OTHER IMPORTANT FUNCTION STATEMENTS:

Essential and other important responsibilities and duties may include, but are not limited to, the following:

 

Essential Functions:

 

  • Receives direction from and works closely with the Public Safety Lead Technician. 
  • Compose and prepare a variety of regular and confidential documents including general correspondence, agendas, reports, class schedules, tests, course outlines, syllabi, contracts and memos from rough draft or verbal instruction; prepare copies of documents; communicate and coordinate information to appropriate agencies/departments including  NC Office of Emergency Medical Services.
  • Verify and review required documents for completeness and conformance with established regulations and procedures for first responder agencies that offer certification training through NC community colleges.
  • Update and maintain documentation for fire/rescue agencies and local students/employers.
  • Respond to requests and inquiries from students, faculty and staff, local and state agencies, provide detailed information and give directions.
  • Prepare payroll information for submittal including the collection and distribution of time cards and pay sheets, both instructional and non-instructional.
  • Audit contracts, review and process monthly paperwork including: fee rosters, pay and travel sheets, grade tests (if class applicable) and verify instructor attendance documents.
  • Maintain regular and confidential departmental files, records and other data; gather and compile the required information as necessary; sort and file documents and records according to standard policies and procedures; input various information into computer; download, print, sort and file materials as appropriate.
  • Assure completion of all reports to be sent to the appropriate state agencies and community college staff in a timely manner to comply with internal audit guidelines.  
  • Maintain schedule for fire/rescue classes at both on and off campus locations

 

Other Important Functions:

 

  • Assist faculty, administrative staff and students with various support tasks including accessing computerized information.
  • Prepare travel requests and reimbursement forms; complete necessary registrations; confirm reservations.
  • Assist with the student registration process.
  • Knowledge of EWD processes and procedures and general College policies and procedures. 
  • Participate in departmental budget planning process; compile information; check and tabulate statistical data; prepare requisitions; coordinate purchasing activities as assigned.
  • Maintain, order and inventory office supplies and equipment.
  • May participate on various college committees and other institutional activities.
  • Perform related duties and responsibilities as required.
