Minimum Qualifications

  • Associate’s degree or equivalent from a two-year college or technical trade school and at least six

   months experience.  Equivalent experience may be substituted for the Associate’s degree

  • Excellent interpersonal, oral, and written communication skills required
  • Ability to perform each essential duty satisfactorily
  • Ability to use Microsoft office to include Word, PowerPoint, Excel, and Outlook 
  • Knowledge of the NCCCS Mandated Software
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations 
  • Ability to write reports, business correspondence, and procedure manuals 
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
  • Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals 
  • Ability to compute rate, ration, and percent and to draw and interpret bar graphs
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists 
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form

Preferred Qualifications

  • Bachelor’s Degree in Business with course work in Accountancy
  • Background in Payroll Administration

Position Description

GENERAL FUNCTION:

Under limited supervision, performs administrative, and accounting functions involving the preparation and processing of employee’s payroll and benefits reports and records; prepares and processes payroll tax reports for the College.  Serves as accounting technician and performs bookkeeping functions for the College’s state fund accounts.

ESSENTIAL DUTIES:

 

  • Collects, collates, verifies, and corrects timesheets on monthly basis
  • Collects leave forms for data entry to employees’ records
  • Enters hours worked and leave taken into NCCCS mandated software and verifies accuracy of

   entries

  • Runs employee longevity pay reports, verifies the data, corrects it as needed, and enters longevity

   pay into the NCCCS mandated software

  • Tracks third party payments (i.e. sick pay, etc.) and adjusts employee withholdings as required
  • Enters garnishments into payroll and remits payments to appropriate entity
  • Makes necessary data changes for employee withholdings benefits
  • Reconciles and runs payroll process for full-time and part-time employees to print checks and

   creates electronic transfer funds (EFT) file and transmits it to the bank

  • Ensures that payroll EFT is disbursed and checks issued by State Mandated Pay Dates
  • Reconciles benefits reports and initiates check requests for benefits checks
  • Distributes leave register to each department
  • Maintains payroll files
  • Completes employment verification forms
  • Assists supervisor with updating and maintaining general ledger account codes
  • Prepares and enters journal entry and budget transfer forms
  • Verifies codes on requisitions and track requisitions on a spreadsheet
  • Assists supervisor with balancing month-end state funds and preparing state fund reports
  • Assists with curriculum student registration
  • Assists with cashiering and serves as backup for Accounts Payable and the Cashier
  • Timely processes and transmits quarterly reports – 941 Employer’s Quarterly Federal Tax Return,

   Employee’s Quarterly Tax and Wage Report to Employment Security Commission

  • Processes and transmits yearly reports timely – W2s for federal and state.  Includes issuing

   employee W2s and summary W2 data to the Social Security Administration

  • Updates Tax Tables and Employee Benefit Tables in the NCCCS mandated software
  • Performs other duties as assigned
