Minimum Qualifications
Associate degree in Office Systems Technology or business office related area; proven competency with Microsoft Office, especially Word and Excel; 1-3 years working in business community; effective oral and written communication skills; and ability to work productively independently.
Preferred Qualifications
Associate degree in Office Systems Technology or business office related area; experience with Colleague (familiarity with Continuing Education and Curriculum mnemonics a plus); work experience in a community college or job placement setting; and Career Readiness Credential.
Position Description
Assist the Dean, Directors, and Coordinators in the planning, organization, implementation and coordination of activities of the department. Perform clerical and public relations duties as needed as well as other duties assigned by the Dean of Business, Industry and Technologies such as entering data, preparing reports and documents, scheduling meetings and rooms, and receiving calls for the department.
Essential Job Functions
Work to ensure coverage to answer and direct telephone calls, meet and greet visitors, stay current on staff movements in and out of office.
Assist with course preparations: plan, prepare the materials needed, register attendees, and collect evaluations.
Process registration for courses as requested by Continuing Education Registrar.
Assist coordinators in meeting with instructors and initiating required first class paperwork protocol for Tarboro Campus.
Scan and process confidential student paperwork.
Provide client assistance; arrange appointments for directors and distribute information on programs offered.
Organize and maintain an effective filing system. Maintain and stock all office supplies. Order items as needed in e-procurement. Coordinate all office equipment maintenance and repair needs.
Supervise work-study student when needed.
Assist in planning special events dealing with department needs.
Assist with in-coming calls for pre-registration.
Schedule rooms for classes for continuing education and curriculum on an as-needed basis.
Type correspondence, assist with contacting students for classes available, and scan documents as needed.
Assist with creation and verification of division reports from sources such as Informer.
Manage and oversee Continuing Education scholarships, which include ECC Scholarship Funds, Golden Leaf Scholarship Funds, State Employees Credit Union Foundation Scholarship Funds, and any other scholarship funds available.
Verify continuing education forms on the internal shared ECC pages are current.
Perform other related duties incidental to the work described herein.
