Minimum Qualifications

Associate’s degree in Business Administration, Office Technology, or related field; OR any equivalent combination of training and experience which provides the required skills, knowledge and abilities; excellent communication skills; ability to work independently; and 3-years work experience in an advanced level office position with scheduling and computer experience.

Position Description

This position performs programmatic and administrative functions for the Division of Instruction; directs and coordinates all curriculum and instruction program and scheduling related activities, including, but not limited to: the coordination and input of curriculum programs of study into state and local Colleague, collection and cataloging of auditing documents related to programs of study, supports the New Curriculum Program Application Guidelines and process; manages curriculum and instruction catalog updates, testing system patches for implementation in production, and other duties related to the support of the Division of Instruction.

In addition, this position serves as a “back up” for curriculum scheduling, preparing room utilization/scheduling reports, and performs a variety of clerical and secretarial duties; provides assistance to students and faculty; coordinates the dissemination of information and material within the division. 

ESSENTIAL JOB FUNCTIONS

Coordinates and inputs curriculum programs of study into state and local Colleague systems, ensures compliance with the North Carolina Community College System (NCCCS) and the State Board of Community Colleges (SBCC) standards and regulations related to programs of study.

Oversees maintenance of all curriculum courses in Colleague system.

Coordinates the collection and cataloging of auditing documents related to programs of study for curriculum and instruction.

Coordinates and prepares updates to curriculum and instruction catalog information.

Performs data analysis to promote division objectives through use of Informer, Colleague and other resources.

Develop and manage the timetable for curriculum schedule development. 

Act as primary data entry technician for curriculum data management in IIPS, Colleague, and System Office college information computer systems.  Attend all training pertaining to human resources, curriculum management, faculty contracts, programs of study, communications management, scheduling resources, etc.  Train other college personnel as back up on various duties.

Maintain training materials and reference and procedure manuals for all areas of curriculum management.  Serve on Colleague Core Team and work closely with the Director of Computer Services in making decisions on policies and procedures to be followed by the college in regard to data management.

Maintain the master files for curriculum standards.  Maintain curriculum programs of study files both locally and in coordination with the Community college System Office and collaboratively through sister institutions.  Keep data updated each semester in Colleague to assist the Registrar with degree audit procedures.

Compose and maintain all college catalog sections pertaining to curriculum, including College Transfer, associate in Applied Science, Diploma, and Certificate programs of study, and all course descriptions.  Edit and format the entire catalog to prepare the file for the graphic designer.  Coordinate with Director of Public Information to meet printing deadlines each catalog cycle.

 

OTHER IMPORTANT DUTIES

Perform general office duties as they relate to the Office of Instruction; coordinate office procedures; place and receive phone inquiries from students, staff, and public in reference to curriculum classes.

Prepare statistical reports for college administration, the system of Community colleges, and other governmental agencies.

Back Up duties (to Administrative Assistant II  - Instruction)

  • Develop traditional and special semester schedules in coordination with department chairs and program coordinators, including the generation of both the paper and web versions of the schedules. 
  • Input and maintain class schedules in the Colleague system.
  • On call during registration periods to troubleshoot course and scheduling issues and adjust class maximum capacities in coordination with Student Services personnel and faculty advisors.
  • Maintain the schedule of classroom space for all college buildings on both campuses and assist internal and external organizations by scheduling space for meetings as requested.  Distribute guidelines for facilities use and issue confirmations of reservations for space.
  • Calculate and prepare all full-time overload and part-time curriculum instructional contracts and coordinate administrative approval and signature and distribution to faculty.  Maintain payroll records and prepare monthly full-time overload and part-time curriculum payroll for the business office.

Perform other related duties incidental to the work described herein.
