Position Description
Under the supervision of the Dean of Student Learning and Innovation, the Student Learning and Innovation Program Specialist provides administrative support to the Dean and other members of the department. The Specialist is responsible for planning, development and organization of the Student Learning and Innovation courses and special college events with the division. In order to accomplish the objectives of the position, the program specialist performs the following functions:
Essential Duties:
- Assist in maintaining the course and program records for the Student Learning and Innovation departments.
- Accurately generates contracts within Colleague for all instructors and maintains employment records and time sheets as needed.
- Build sections, register students, and grade courses for the Personal Enrichment, Literacy Education other courses and programs in the department. Maintains a secure filing system for all confidential client information.
- Assumes responsibilities for the operation of the LEIS (Literacy Education Information System) to include entering data and running reports.
- Acts as a liaison with literacy instructors in regards to data necessary for accurate enrollment, follow-up and testing
- Assures that permission forms are on file for all minors entering literacy programs
- Enters grades and hours for literacy, occupational extension, and community service students
- Runs internal audit programs to comply with FTE compliance reviewer's recommendation to help identify potential audit exceptions.
- Provides class records and reports for FTE and fiscal auditors/compliance reviewers upon request.
- Monitor enrollment data throughout the semester to make sure errors are kept at a minimum.
- Receipt registration monies and validates receipt rosters in Business Office.
- Prints and reviews Status of Classes Report on a weekly basis to monitor the progress of registration, cancellation of classes, and receipt of grades for classes which have ended.
- Maintains files for course syllabi and outlines.
- Verifies timesheets/reports for part-time instructor payroll.
- Provides information about programs and provides assistance to students, visitors, colleagues, customers and faculty and staff members at the College.
- Assist with answering incoming calls to the division as needed and assist with walk-in registrations as needed.
- Serves as an initial point of contact for students, visitors, instructors, and staff, determines the general nature of their needs and directs them to appropriate. programs/staff with excellent customer service skills and professionalism.
- Provides back-up assistance for all other program areas in the Division.
- Assist with the promotion of department projects and seminars through brochures, mailings, and other correspondence.
- Maintain a working knowledge of workforce development, continuing education and curriculum course and program offerings at the college.
- All employees are responsible to ensure compliance and confidentiality with all policies and procedures of the College, NC Community College System, and applicable State and Federal regulations.
- Initiates and inputs requisitions for purchase of supplies and materials.
- Ensures accuracy and completeness of staff and instructor budget requests.
- Prepares and distributes correspondence for the department and division as needed.
- Provides administrative support for the Dean and division as needed.
- Serves on college committees/workgroups.
- Performs other duties as assigned by the Dean of Student Learning & Innovation.
