Minimum Qualifications

Bachelor’s degree or equivalent

Three years of experience working in project management and with teams and committees

Preferred Qualifications

Graduate degree in an educational related field

Previous work experience in a higher education setting

At least five years of experience working  in project management and/or high level executive support

Position Description

Pay Grade: Coordinator 4

This position provides project management and administrative support to the Executive Director and division as well as internal and external constituencies in the fulfillment of the college's mission, vision, and goals.

RESPONSIBILITIES AND DUTIES (*ESSENTIAL FUNCTIONS):

*Provides research, coordination and management support for projects assigned by the Executive Director, working with division directors and managers to coordinate and assisting in the oversight of multiple timelines, deadlines, resources, events and deliverables

*Provides coordination and administrative support for the preparation of all state, federal and regional accountability and accreditation reporting (such as the Southern Association of Colleges and Schools Commission on Colleges (SACSCOC) as well as onsite visits

*Prioritizes conflicting needs; handles matters expeditiously, proactively, with minimal instruction and follows through on projects to successful completion, often with deadline pressures

*Prepares, manages and maintains all official correspondence and records, including with state, federal and accreditation authorities.

*Manages  and maintains division day-to-day operations and operational processes, procedures and paperwork, including travel, contracts, purchasing and budgets, preparing budget reports as needed and ensuring compliance with college policies and schedules.

Verifies all documents requiring the Executive Director’s signature for accuracy and completeness

Coordinates committee meetings and events,  creates agendas, manages committee memberships and follows-up on action items

Assists in the preparation, organization, and delivery of materials for meetings and events

Performs special projects and assignments as directed

QUALIFICATIONS:

Knowledge, Skills, Abilities

Strong organizational skills that demonstrate an ability to prioritize and perform multiple tasks seamlessly with attention to details and deadlines

Ability to work independently with minimal supervision

Strong oral and written communication and presentation skills

Strong interpersonal skills, with the ability to maintain a welcoming office climate with discretion and confidentiality that engenders trust among students, staff, faculty, senior leadership, Board Members and the community 

Intermediate proficiency in Microsoft Excel, Word and PowerPoint as well as Adobe products and project management software

Skilled in with working with data and research

Demonstrated strong attention to detail, with the ability to maintain records accurately and meet deadlines consistently

Demonstrated program planning and management experience with ability to set clear priorities

Ability to perform duties independently with minimal supervision

Ability to authentically relate to and connect with racially and socio-economical diverse populations

Ability to be an effective and collaborative team player who achieves goals while helping others to do the same
