Position Description

DEFINITION

To perform a variety of administrative duties and assist in coordinating various Academic and Career Readiness programs to aid in the recruitment, retention and transition of students. To serve as a CASAS and HiSET testing proctor at all four CFCC campuses, New Hanover Correctional Institution and Pender Correctional Institution.

 

SUPERVISION RECEIVED AND EXERCISED

  • Receives general supervision from the Directors and Coordinators of Academic and Career Readiness.
  • Exercises no supervision.

 

Duties & Responsibilities (Essential Functions)

 

ESSENTIAL AND OTHER IMPORTANT RESPONSIBILITIES

Essential and other important responsibilities and duties may include, but are not limited to the following:

 

  • Provide information to the public, students, instructors and staff regarding ACR programs within the scope of all ACR policies and procedures including testing, local and state compliance expectations, and reporting.
  • Demonstrate strong customer service skills at all times.
  • Maintain knowledge of testing requirements and administer placement and post testing and HiSET testing – at all four CFCC campuses, New Hanover Correctional Institution and Pender Correctional Institution. 
  • Assist with student registrations and orientations, testing and class placement.
  • Provided instructors with relevant student documentation to aid in appropriate instruction.
  • Verify and review forms for completeness and conformance with established regulations and procedures.
  • Input data in the college database accurately and efficiently.
  • Maintain a level of organization that is accessible and transparent to other team members.
  • Maintain student academic records including attendance, testing, progress, career pathways.
  • Collaborate with coordinators to maintain and improve various program requirements and offerings and to market our programs to potential students.

 

 

Other Important Functions:

  • Answer phone, email, convey messages, respond to inquiries from students, instructors, the public and staff in a timely and professional manner.
  • Provide program information and give detailed directions.
  • Participate in the maintenance of regular or confidential department files, records and other data; gather and compile the required information as necessary; sort and file documents and record according to standard policies and procedures; input various information to system; download, print, sort and file materials as appropriate.
  • Maintain inventory and assist with ordering testing supplies.
  • Perform other related duties as assigned.

 

 

QUALIFICATIONS

 

Knowledge of:

  • Adult Education programs such as high school equivalency and diploma programs.
  • Adult Education andragogy.
  • Local and state agencies associated with Continuing Education, Transitional Studies, Adult Education.
  • Microsoft Office, Ellucian or other data entry program, email, Google applications.
  • Classroom technology.

 

Ability to:

  • Interpret and apply the policies and procedures of the function to which assigned.
  • Respond to routine inquiries and requests for information about the department and the college as a whole.
  • Maintain a relationship with a variety of students, instructors, and co-workers conducive to optimal working conditions.
  • Coordinate work assignments with others.
  • Work independently in the absence of supervision. 
  • Communicate clearly and concisely, both orally and in-writing.
  • Maintain effective audio-visual discrimination and perception needed for:

o   Making observations

EXPERIENCE AND TRAINING GUIDELINES

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:

Special Instructions to Applicants

  • This position will require flexibility in work hours, including evenings, along with the ability to travel to off-campus locations.
  • This position will require testing at New Hanover and Pender Correctional Institutions. 
  • This position REQUIRES UNOFFICIAL TRANSCRIPTS AND/OR TRAINING CERTIFICATIONS be submitted in addition to the application. Please have these documents ready to upload when applying. 
  • Candidates are required to submit OFFICIAL TRANSCRIPTS for all degrees obtained prior to their first day of work or hire date. If the highest level of education is a High School diploma or equivalent, proof of completion is required.
  • Candidates who have obtained their education outside of the US and its territories must have their academic degree(s) validated, at their own expense, by an outside credential evaluation service as equivalent to the Baccalaureate or Master's degree conferred by a regionally accredited college or university in the United States.
