Minimum Qualifications

Two years of experience working in Human Resources, Office Administration or related office support field.  Ability to work independently, prioritizing work and balancing multiple projects concurrently. Must have excellent organizational skills with strong attention to detail.  Strong interpersonal skills with the ability to interact with our diverse employee and student groups in a positive and pleasant manner.  Willingness and desire to learn and grow with the College.  
 
Intermediate skill level required with Microsoft Word, Excel, Outlook and Visio.

 

Preferred Qualifications

Associates Degree with 2+ years of experience in Human Resources and experience in Payroll and/or Accounting.  

Position Description

 

 

PRIMARY PURPOSE OF POSITION

This position’s primary purpose is to assist Human Resources in the day-to-day operations of the department while making a positive contribution toward the mission, vision, values and goals of Haywood Community College in a competent, creative, flexible and pleasant manner.

 

This position will work up to 29 hours per week; schedule will be comprised of 29 hours during our normal college hours of Monday - Friday, 8:00 am - 4:00 pm and will be determined before hire, based on selected candidate and college needs and preferences.

 

ESSENTIAL JOB DUTIES

 

  • Serving as a key contact for employees of the College, incumbent must deliver an exceptional level of customer service and support.
  • Support and assist with the recruitment process by assisting with interview scheduling, references and background checks.
  • Has primary responsibility for orientation of new employees, including coordination of New Hire Orientation and coordination of documents.
  • Maintains employee directory by adding new hires and processing transfers and title changes.
  • Completes required NC new hire reporting within 20 days of hire via online portal. Serves as backup administrator for E-Verify.
  • Maintains accurate and up-to-date human resource files, records and documentation following the guidance of HCC Personnel files policy.
  • Under the direction of the Director of HR, serves as a key team member in the migration to and implementation of electronic filing system.
  • Answers frequently asked questions from applicants and employees relative to standard policies, benefits and payroll.
  • Processes employment verifications on current and previous employees
  • Process documentation and prepare reports relating to human resources activities (payroll, staffing, recruitment, training, grievances, performance evaluations, etc.) To include Staff Information Report and IPEDS.
  • Will assist and support payroll function in processing, accurate data entry, answering employee questions, reviewing and tracking timesheets and preparing part-time staff contracts.
  • Responsible for answering and routing calls, greeting visitors, handling inquiries from the public, and coordinating incoming and outgoing mail.
  • Prepare correspondence, agendas and reports for various end-users such as Executive Team, President’s Council and Board of Trustees.
  • General office duties (typing, filing, mail, records, printing, faxing, ordering and maintaining inventory of supplies, etc.) utilizing MS Word, Excel, Power Point, Visio, Internet, Email and other information systems programs.
  • Assists with planning and execution of special events such as benefits enrollment, campus-wide meetings, employee events, and other gatherings.
  • May attend internal and/or external events, such as job fairs, to represent the College.
  • Provide administrative support to the Director of Human Resources and serves as back-up administrator for HR Specialists.
  • Coordinate and schedule routine, recurring meetings for HR Team and employees. Maintains agendas and minutes from meetings. 
  • May operate college-owned vehicles.
  • Other duties as assigned
