Position Description

DEFINITION:

To assist the Transcript Evaluation Coordinator with the transcript evaluation process for students transferring to Cape Fear Community College.  This position will make a determination regarding transferable credit through examination of official transcripts.

 

SUPERVISION RECEIVED AND EXERCISED:

  • Receives direction from the Transcript Evaluation Coordinator
  • Exercises no supervision

 

Duties & Responsibilities (Essential Functions)

 

ESSENTIAL AND OTHER IMPORTANT FUNCTIONS STATEMENTS:

Essential and other important responsibilities and duties may include, but are not limited to, the following:

 

Essential Functions:

  • Evaluate the college and university transcripts of students and determine which courses will transfer
  • Enter all transfer credit data into the student data system
  • Evaluate AP, CLEP, IB, international, and military transcripts
  • Determine if institutions are accredited and evaluate transcript coursework for equivalencies
  • Generate transfer credit documents and forward results of the transcript evaluation to students
  • Utilize the College’s imaging software to electronically file the evaluation results to the student records
  • Assist with transcript evaluation processes by entering courses into Colleague for potential transfer credit (EXTS) as needed
  • Enforces and explains catalog policies to students in a positive manner
  • Respond to student inquires via email, phone, and in-person communication
  • Communicate with various departments regarding transcript evaluation
  • Maintain a detailed training and procedures manual for transcript data evaluation and entry

 

Other Important Functions:

  • Perform other related duties and responsibilities as assigned
  • Ability to multitask, prioritize, and exercise critical thinking skills
  • Assist with training new staff as needed
  • Serve on College Committees as requested
  • Work at the front Enrollment Services counter as needed
  • Participate in student registration and other special activities as requested by the Registrar

 

Qualifications

 

QUALIFICATIONS:

Knowledge of:

  • College policies and procedures regarding Admissions and Registrar standards
  • The concepts of adult learning
  • General education requirements and academic grade and unit equivalents
  • Purpose and function of community colleges
  • Transfer requirements and procedures of regional four-year education institutions
  • Modern office procedures, methods and computer equipment
  • English usage, spelling, grammar and punctuation
  • FERPA law (Family Educational Rights and Privacy Act)
  • Google Suite (Docs, Sheets, etc)

Ability to:

 

  • Ability to perform detail-oriented tasks
  • Interpret and apply the policies and procedures of the college
  • Refer students to appropriate college staff for program advising, testing and related matters
  • Evaluate test scores and previous education and training
  • Operating assigned equipment
  • Establish and maintain cooperative working relationships with those contacted in the course of work
  • Interpret and apply CFCC goals, objectives, policies, procedures, rules, and regulations
  • Communicate clearly and respectfully, both verbally and in writing
  • Maintain effective audio-visual discrimination and perception needed for:
    1. Making observations
    2. Reading and writing
    3. Communicating with others
    4. Operating assigned equipment
    5. Handling varied tasks simultaneously
  • Maintain physical condition appropriate to the performance of assigned duties and responsibilities, which may include the following:
    1. Standing or sitting for extended periods of time

    3. Handling varied tasks simultaneously 
    4. Bending, stooping, or climbing

EXPERIENCE AND TRAINING GUIDELINES:

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:

  • Candidates are required to submit OFFICIAL TRANSCRIPTS for all degrees obtained prior to their first day of work or hire date. If highest level of education is High School diploma or equivalent, proof of completion is required.

 

  • Candidates who have obtained their education outside of the US and its territories must have their academic degree(s) validated, at their own expense, by an outside credential evaluation service as equivalent to the Baccalaureate or Master's degree conferred by a regionally accredited college or university in the United States.
