Occupational Summary

Hours: Monday - Thursday 9:00 am - 5:00 pm

The Receptionist/Administrative Assistant (29-hour position) is responsible for providing receptionist, clerical, administrative and technical support to the Brock Executive Suite. This position maintains current general knowledge of appropriate college and departmental policies, processes and procedures in an effort to ensure efficiency and integrity of the department. Serves as a point of operational and administrative contact for visitors to the Suite, consistently setting a professional tone, both in personal behavior and telephone etiquette.

Essential Duties & Responsibilities

 

  • Welcomes visitors to the Suite by greeting them, referring inquiries and giving directions and instruction
  • Acts as a back-up for other Suite members to answer, screen, forward, take messages or place calls
  • Receives, sorts and delivers the daily mail for the Suite
  • Maintains copier service and orders/stocks paper for the Suite copiers
  • Maintains the distribution of supplies and tablecloths as needed for College-wide functions
  • Completes travel requisitions/reimbursements for the President and Board of Trustees through
     Doc-e-fill and E-Procurement 
  • Creates purchase orders through E-Procurement and requisitions for office supplies, memberships, sponsorships, etc. 
  • Researches, compiles, and summarizes data and information for special projects and reports
  • Assists with organizing special meetings, events and social functions, including caterers, materials and supplies
  • Performs various clerical duties such as filing, copying, collating, faxing, etc. 
  • Performs other job-related duties and projects as assigned in support of the College’s mission, core values and goals the College and the Foundation

 

Minimum Qualifications

Knowledge

  • Intermediate knowledge of clerical processes and procedures and standard office procedures; practices and equipment
  • Intermediate knowledge of business letter writing and report preparation
  • Intermediate knowledge of record control and statistical recordkeeping

  • Intermediate computer skills and technical proficiency in Microsoft Office applications
  • Effective verbal, listening and written communications skills
  • Attention to detail and high level of accuracy
  • Very effective planning, coordination and organizational skills to meet work deadlines
