Position Description
The receptionist/information services staff member serves as the point of contact for visitors to the Administration Building/Campus and serves as the College phone operator. This position greets visitors, provides information, refers/transfers calls to appropriate lines; updates personnel lists; issues employee parking permits; processes parking tickets; performs administrative duties; operates computer at receptionist desk. This position reports to the Director of Human Resources.
- Create a welcoming environment by promptly and appropriately acknowledging walk-ins and answering callers with courtesy and a positive tone
- Listen to requests, determine proper person or office to which they should be directed; provide routine information; relay messages as requested
- Ensure proper assistance and quick responses to callers; connect callers to persons/offices requested
- Initiate calls and/or callbacks to those who have left voicemails
- Respond to RCC information emails promptly
- Operate standard office equipment
- Train new operators, including staff, for backup on an ongoing basis
- At the request of the Director, contact relief staff to ensure coverage
- Notify supervisor of any scheduling changes in advance; confirm hours worked by part-time receptionist/information services staff
- Issue faculty and staff parking permits and visitor temporary parking permits. Maintain log and send to the Director of Campus Security as requested
- Process student parking tickets in Colleague (PERC)
- Update various personnel lists including but not limited to the college telephone directory as directed by the Office of Human Resources and send changes to TSS vis Service Now
- Refund money for vending machines. Log vending machine complaints and call company for maintenance/repair. Report complaints to the Associate VP for Facilities and External Affairs.
- Maintain RCC website master calendar of events as requested and assist with calendar updates as requested
- Assist Office of Human Resources with clerical and related assignments confidentially, i.e., greeting interview candidates, scanning and filing documents, processing credentials
- Establish and maintain cooperative working relationships with faculty and staff
- Order First-Aid supplies as needed
- Process invoices in e-procurement as requested by the Director of Human Resources
- Maintain security of personal computer and working documents at all times
- Maintain a neat and orderly receptionist area; keep brochure/information materials in lobby stocked
