  • An associate’s degree from a regionally accredited institution; bachelor’s degree is preferred.
  • Recordkeeping and reporting experience; experience in a higher education and/or institutional research setting is preferred
  • Proficiency in the MS Office Suite is imperative; knowledge of Datatel Colleague and Informer Web Reporting is preferred
  • Confidentiality is imperative; must adhere to and educate others regarding FERPA regulations
  • Strong organizational skills with attention to detail
  • Excellent communication and customer service skills necessary

Position Description

GENERAL FUNCTION:

The Records & Enrollment Services Data Specialist works to maintain work flows related to the admissions and registration processes; maintains the accuracy and integrity of student data and timely processing of all documents; prepares reports used to analyze both these processes and the overall enrollment management efforts of the College; submits enrollment data to the National Student Clearinghouse.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Assists for downloading, processing, and entering electronic applications and high school transcripts from CFNC/Cross Connect into the College’s student information system
  • Assists with designing, implementing, maintaining records and enrollment system reports for the purpose of validating data and making informed decisions relative to institutional reporting   
  • Assists the Director of Records and Enrollment Services with required reports, not limited to Institutional Curriculum Report (ICR), Estimated FTE, Curriculum Registration, Completion and Financial Aid Report (CRPFA)
  • Responsible for submitting the (monthly) enrollment data to the National Student Clearinghouse and responding to any credential inquiries as needed
  • Assists with evaluating application data, transcripts, ACT/SAT test scores for course equivalencies and updates student record as necessary
  • Assists in the evaluation of students meeting admission criteria and admits students as appropriate
  • Works with and communicates with the Records & Enrollment team to receive and process student data to include the updating of student demographic and academic information
  • Assists with processing automated communications to student populations such as those with incomplete records, potential applicants, etc.
  • Scans and index all documents to the students’ records in a timely manner
  • Serves as the lead to create, implement, and maintain an operations manual for the division
  • Process additional records and forms for the admission, readmission, and registration of students
  • Additional duties as required
