Minimum Qualifications

Education: 

  • Bachelor’s degree in education, administration, or related field

Experience:

  • Three to five years of experience in a community college, or combination of education and experience commensurate with the requirements of this position

Knowledge, Skills, and Abilities required:

  • Proficiency in word processing and ability to learn a variety of computer software
  • Ability to communicate effectively in an educational setting
  • Knowledge of principles and practices pertaining to registration services. 
  • Knowledge of department and college policies, procedures, and practices with the ability to answer work-related questions, and interpret and apply guidelines correctly. 
  • Comprehension of federal regulations regarding records and student information.

Position Description

The Registrar, serving under the direction of the Dean of Student Services:

  •  Plans, organizes, administers, and manages registration and student records processes and operations for Carteret Community College (CCC) and advises and enforces College registration and student records policies;
  • Oversees processes to ensure the integrity of student academic records and the accuracy of the academic degrees and certificates conferred by CCC; 
  • Responds to inquiries from CCC students, College departments, educational institutions, the community, and/or external agencies on complex policies or issues and supervises student affairs services staff. 
  • Compiles data, surveys, and reports on enrollment and educational activities for administration, government, and other external agencies.

 

Examples of Duties / Knowledge & Skills

  • Manages Registrar’s Office and the preparation and maintenance of a variety of student records, including attendance, permanent records, grades, and/or other applicable records, ensuring alignment with the College’s mission, values, goals, and objectives, as well as all local, state, and federal laws and regulations.
  • Coordinates registration process, develops registration schedules and procedures, assigns registration responsibilities to appropriate college staff, updates and maintains administrative registration and advising software including web functions and Colleague/Informer/Etrieve. 
  •  Evaluates registration activities and makes changes to improve efficiency, serves as a liaison between instructional administration, faculty, and students regarding registration issues, canceled courses, and attendance.  Follows up to make certain that situations have been resolved.
  • Maintains accurate records, compiles data for preparation of various surveys and reports for college administration and staff, federal, state, and other agencies.  Creates and generates reports as requested using the administrative computing system.  Verifies and provides enrollment data requested by various agencies and complies with all federal privacy regulations and with all state and federal reporting requirements.  
  • Uses computer to create reports, forms, and charts from oral instructions or notes; composes routine letters and memos, as well as correspondence requiring diplomatic resolution of challenging customer service issues.
  • The Registrar runs a variety of reports throughout each semester:  batch enrollment reports, purge lists, course overlap, duplicates, honors report, incomplete grades, high school students/CCP, student loads, directory information, and faculty statistics. 
  • Supervises the input and release of grades; including withdrawal grades and academic transcripts. The Registrar reviews all curriculum transcripts before they are released and performs any necessary maintenance to correct inaccuracies.
  • Compares the approved programs of study to the check sheets to ensure accuracy.
  • Compiles statistical information each semester resulting in reports broken down by curriculum, gender, race, and full-time/part-time status. 
  • Maintains the official college course taxonomy; responsible for production of catalog, proofs document for consistency of style and accuracy of information, and researches and resolves inconsistencies of data.
  • Maintains archival copies of past catalogs, admissions books, curriculum schedules, and curriculum check sheets.
  • Responsible for graduation audits.  Evaluates student records to ensure graduation requirements have been met.  Oversees preparation of preliminary graduation audits and give final approval before degrees are conferred.  Oversees ordering and mailing of diplomas to graduates.
  • Prints final grade reports to mail to students.
  • Prepares graduates for commencement immediately prior to the ceremony by relaying instructions, handing out graduate cards, and lining up graduates for the processional.  Prepares the list of graduates and related comments for the Division Chairs to read during commencement.
  • Interacts with college employees, students, or outside contacts to provide information, answer questions, solve problems, or otherwise respond to legitimate requests.
  • Attends meetings, conferences, and workshops to keep updated on issues relating to registration procedures and student records; attends college meetings and serves on college committees.
  • Supervises, trains, and evaluates Assistant Registrar, and student workers.

Working Conditions:  Ability to sit and/or stand for periods of time; ability to lift 10-15 pounds to set up recruiting materials and equipment; ability to move from building to building on and off campus for recruitment events.
