Associate degree required. Previous experience working in an administrative support position preferred.

Position Description

Duties and Responsibilities:

  • Responds to inquiries and requests involving some use of independent judgment to fit situations and facts with established guidelines; serves as an informational resource to staff.
  • Trains staff and instructors on new software implementations related to data, attendance, and contract related items.
  • Maintains semester reports on completion of programs by students and certifications awarded.
  • Creates and updates department files; pulls and re-files records; purges section files over five years except CJC.
  • Answers phone: provides information and explains procedures; refers calls to appropriate person; takes messages; screens requests for supervisor.
  • Prepares monthly payroll for part-time employees utilizing contracts, contract adjustment forms and entering each adjustment using Colleague and Advansys systems.
  • Gathers and summarizes information; produces comprehensive reports on a weekly, monthly and semester basis.
  • Assists with student registration process and enters grades for all program areas.
  • Submits monthly fire report to OSFM.
  • Prints/manages transcript requests.
  • Maintains/manages the department’s payroll records with spreadsheets.
  • Enter and manage adjunct instructor “new hire” packets, including requests for e-mail and Moodle access.
  • Assist with ICR report at the end of each semester.
  • Assist with receipts and delivers fee forms and collected tuition to the Finance Department.
  • Collects and maintains all departmental agreements, MOUs and ISAs (original copies and online storage).
  • Day and evening hours may be required.
  • Performs other duties as assigned.
