Position Description
Responsible for welcoming guests and managing the calendars and schedules of advisors, coordinating with clients or customers to find suitable appointment times, and ensuring that appointments are booked efficiently and accurately.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Offers a warm reception to customers in a positive, professional, and enthusiastic manner.
- Effectively assess students’ need for campus resources and make adequate referrals.
- Serve as a point of contact for the Center for Student Success and Engagement. Maintain and update the schedules of advisors, which includes but not limited to adding new appointments, rescheduling as needed, and blocking out unavailable times.
- Liaise with clients or customers to find suitable times for appointments. This may involve sending emails, making phone calls, or using scheduling software such as Microsoft Outlook.
- Send confirmation emails or messages to students to ensure they are aware of their scheduled appointments. Send reminders close to appointment dates.
- Adept at handling cancellations and rescheduling requests. Find alternate times, update calendars, and notify all relevant parties.
- Keep detailed records of appointments, cancellations, and any special instructions provided by students or advisors as directed by the supervisor. Provide reports and data on advisor schedules and trends.
- Adhere to privacy of student information by following FERPA requirements.
- Flexible and able to adapt quickly to changes in schedules, priorities, or protocols. Proactively notify Student Success and Engagement Representatives and director of service demands.
- Responsible for answering phone calls and emails to the Center for Student Success and Engagement.
- Assist with crowd management during peak periods to ensure order and quality of service.
- Performs other duties as required.
