Minimum Qualifications

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.
 

Experience: Two years of increasingly responsible experience or one year of experience and an Associate’s degree in Office Technology or related field.
 

Training: Completion of the twelfth grade supplemented by specialized secretarial training or equivalent.
 

Communication, both oral and written, skills necessary. Must have expert proficiency in Microsoft Office (Word, Excel, and PowerPoint).

Preferred Qualifications

Associate degree with one year of clerical experience.

Position Description

Perform a variety of complex and responsible clerical duties with a high degree of accuracy for the departments and faculty in assigned areas.
 

Provide detailed information to students, faculty, and staff while maintaining confidentiality of student and employee records.
 

Assist in student registration, payroll, building courses, and creating instructor contracts and time sheets to comply with system audit requirements.
 

Greet visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.
 

Manage, organize, and maintain detailed paper and electronic records and files.
 

Compose, type, and distribute meeting notes, routine correspondence, and reports.
 

Maintain office supplies by checking stock to determine appropriate inventory levels; anticipating and ordering needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
 

Operate office equipment such as fax machines, copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
 

Complete special projects and assignments as required and perform related duties as assigned.
 

Continually develop and improve skills through professional development.

Perform other duties as assigned by the department.
