Experience and Training Guidelines
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.

Minimum Qualifications:
Completion of the twelfth grade, supplemented by specialized secretarial training; or equivalent. An Associate degree is preferred.

Preferred Qualifications

Preferred Requirements: Two years of increasingly responsible secretarial and/or clerical experience or one year of experience and an Associate degree in a secretarial field. An Associate degree is preferred.

Position Description

Announcement Summary

The NCMBC at FTCC is seeking a full time staff member to perform secretarial, administrative, event-related and clerical tasks in support of the NCMBC headquarters and business development team statewide.

This individual performs a variety of complex and responsible clerical duties for assigned area of responsibility; to provide a variety of detailed information to North Carolina Military Business Center staff and business clients; to maintain complex and detailed records and files related to assigned area of responsibility; to assist staff in research, data analysis, and special projects (including major events); in coordination with the North Carolina Military Business Center (NCMBC) Data Management and Programming Technician.

This is the journey level class in the Secretarial series. Positions at this level are distinguished from other classes within the series by the level of responsibility assumed and the complexity of duties assigned. Employees perform the full range of general office and clerical duties assigned to classes within the series including providing detailed information to NCMBC staff and clients, maintaining complex records and files, typing memoranda and correspondence, and performing difficult research and problem-solving work and performing basic software programming. Employees at this level are required to be fully trained in all procedures related to assigned area of responsibility.

Duties

Duties may include, but are not limited to, the following:

Type, process and proofread a variety of reports, letters, memoranda, and statistical charts; type from rough draft.

Provide routine clerical support to Executive Director and Integrated Marketing and Events Coordinator.

Receive, sort and distribute incoming and outgoing correspondence.

Perform routine and complex general clerical work including filing, scheduling appointments, duplication, including statistical analyses of a variety of research topics.

Analyze requirements for equipment and supplies; initiate paperwork and monitor receipt of items.

Provide support for office management functions by coordinating, supervising, and/or participating in a variety of office operations; perform special projects and assignments as

Prepare and track invoices, travel approval and reimbursement and maintain files of billings.

Answer phones for Executive Director and Integrated Marketing and Events Coordinator as needed.

Confer with other departments to coordinate events, programs, and schedules; assist in the coordination of luncheons, meetings, conferences, and data collection efforts.

Operate a variety of standard office equipment including a computer, scanners, and copier equipment.

Assist NCMBC’s Integrated Marketing and Events Coordinator in planning and execution of training and major events.

Post calendar items routinely on the NCMBC.us website.

Backup to the Data Management and
Programming Technician to support and release daily opportunities message from internal queue of solicitations selected by business development team and sent to targeted companies.

Prepare required documentation, in support of the Integrated Marketing Events Coordinator to include: contracts, public service agreements, work orders, audio- visual requests, room requests, and purchase orders for supplies, equipment, and textbooks.

Perform related duties as assigned.

Must have a valid driver’s license and the ability to qualify to drive a FTCC vehicle.

Must see with sufficient close vision, distance vision, color vision, peripheral vision, depth perception, and focus adjustment to differentiate light/color intensity and evaluate perceivable changes in the environment.

Must have moderate sense of smell to determine danger indicators such as smoke.

Must have good finger dexterity necessary to type using a standard keyboard, (including use of number pad on the keyboard).
