Two (2) years' full-time professional experience in an office environment performing administrative tasks.

Valid NC drivers' license.

Experience with Colleague.

Experience with the NC State E-Procurement System.

SALARY:$33,600.00 - $36,000.00 Annually

OCCUPATIONAL SUMMARY:

This Position Will Remain Open Until Filled.

The Senior Administrative Assistant performs a range of administrative, clerical and project support duties in support of Facilities Services. This position maintains current knowledge of appropriate college and departmental policies, processes and procedures in an effort to ensure efficiency and integrity of the department. This position actively participates in the planning and coordination of projects, activities and initiatives undertaken by the department. The Senior Administrative Assistant is also responsible for coordinating and scheduling internal and external meetings and events as well as other College, community and cultural activities.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Provides excellent customer service and assistance to internal and external customers through walk-in, telephone and email
  • Responsible for planning, organizing, coordinating and executing the administrative functions for Facilities Services
  • Provides general administrative support to the department including preparation of memorandums, correspondence, minutes, reports, etc.
  • Coordinates the use of College facilities for internal and external clients including but not limited to scheduling, lay-out modifications, staffing and catering; collaborate as appropriate with communications/marketing staff to publicize events
  • Assists in maintaining and monitoring budgets
  • Performs requisition requests to order supplies and/or services or input vendors
  • Maintains accurate records and well organized files to comply with Facilities Services needs
  • Creates and maintains data for special projects and yearly maintenance projects
  • Assists staff in the preparation of travel requests, submissions, and final settlements
  • Monitors and conducts inventories pertaining to equipment and supplies and contacts appropriate individuals for equipment maintenance
  • Participates in professional development opportunities to improve knowledge and skills
  • Participates in appropriate committees and task forces as assigned
  • Performs other job-related tasks and projects as assigned in support of the College's mission, core values and goals

MINIMUM QUALIFICATIONS:

Knowledge

  • Advanced knowledge of clerical processes and procedures and standard office procedures, practices and equipment
  • Advanced knowledge of report preparation
  • Advanced knowledge of record control
  • Working knowledge of basic project management practices and protocols
  • Working knowledge of College and departmental operational practices, policies and procedures, and the ability to assist employees in understanding them

  • Advanced computer skills and technical proficiency in Microsoft Office applications
  • Effective verbal, listening and written communications skills
  • Attention to detail and high level of accuracy
  • Multi-task and organize, prioritize, and follow multiple projects and tasks through to completion with an attention to detail
