Minimum Qualifications

Associate’s degree in Office Systems Technology, Business Administration, Information Technology or closely related field from a regionally accredited institution of higher learning.

Two (2) years’ professional experience in an office environment performing administrative tasks.

Valid NC Drivers' License

Experience with Colleague.

Position Description

Occupational Summary

The Senior Administrative Assistant performs a range of administrative, clerical, and project support duties in support of the Havelock Campus. This position maintains current knowledge of appropriate college and departmental policies, processes and procedures in an effort to ensure efficiency and integrity of the department. This position actively participates in the planning and coordination of projects, activities and initiatives undertaken by the department.

Essential Duties & Responsibilities

 

  • Provides excellent customer service and assistance to internal and external customers though walk-in, telephone and email
  • Manages the building room calendar and approves room requests and schedules curriculum room assignments
  • Provides general administrative support to the Havelock Campus including preparation of memorandums, correspondence, minutes, reports, and check requests
  • Receives, verifies, records and issues receipts for all College cash collections; prepares balancing sheet for daily closeout
  • Processes in person, electronic and phone payments for registration and various fees
  • Processes all Colleague updates to the Havelock Campus course schedule as requested
  • Inputs, and issues contracts for instructors and processes payroll for adjuncts, full-time overload and contract employees
  • Assists in maintaining and monitoring budgets and monitors and conducts inventories pertaining to equipment and supplies and contacts appropriate individuals for equipment maintenance
  • Performs requisition requests to order supplies and/or services 
  • Participates in appropriate committees and task forces as assigned
  • Performs other job-related duties and projects as assigned in support of the College’s mission, core values and goals

  • Advanced knowledge of clerical processes and procedures and standard office procedures; practices and equipment
  • Advanced knowledge of report preparation
  • Advanced knowledge of record control and statistical record keeping
