Senior Administrative Assistant - Teaching and Learning

SALARY:$34,000.00 - $36,000.00 Annually

OCCUPATIONAL SUMMARY:

The Senior Administrative Assistant is responsible for providing programmatic, instructional, and project support to the Dean of Teaching and Learning. This position maintains current general knowledge of appropriate college and departmental policies, procedures, and processes in an effort to ensure efficiency and integrity of the department.  

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Performs a wide variety of clerical, technical, administrative and office support duties in support of the Dean of Teaching and Learning
  • Provides general clerical and administrative support to the department; composes and types correspondence; prepares a variety of reports, including technical and status reports
  • Creates requisitions for office supplies and maintains the budget binders for the department
  • Complete travel requisitions and travel reimbursements for the department
  • Provides a prompt response to all inquiries whether in-person, by telephone, or via email; screens and directs phone calls, taking and relaying messages, and answering questions from faculty, staff, students, and the general public
  • Researches, compiles and summarizes data and information for special projects and reports
  • Provides excellent customer service to the Teaching and Learning Department including all stakeholders who interact with the department
  • Prepares contracts for the CORD program
  • Participates in appropriate committees and task forces as assigned
  • Performs other job-related duties and projects as assigned in support of the College’s mission, core values and goals

MINIMUM QUALIFICATIONS:

Associate's degree in Office Systems Technology, Information Technology or closely related field from a regionally accredited institution of higher learning.

Three (3) years' experience working in a professional environment.

Preferred:

Bachelor's degree from a regionally accredited institution of higher learning.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge

  • Intermediate knowledge of clerical processes and procedures and standard office procedures, practices and equipment
  • Intermediate knowledge of record control and statistical record keeping
  • Advanced knowledge of report preparation
  • Advanced knowledge of customer service principles

  • Advanced computer skills and technical proficiency in Microsoft Office applications
  • Effective verbal, listening and written communication skills
  • Attention to detail and high level of accuracy
  • Effective planning, coordination and organizational skills to meet work deadlines
