Minimum Qualifications

  • Associate degree from a regionally accredited institution is required 
  • Ability to carry out assigned projects to their completion with minimal supervision 
  • Ability to work independently with a multitude of task assignments using logical prioritizing methods 
  • Proficiency in the use of Microsoft Office; ability to adapt to other professional software applications for resource development; and ability to type 
  • Ability to communicate effectively, both verbally and in written form 
  • Must have or be able to obtain a valid driver's license 
  • Experience as a forklift operator is preferred; certification to operate a forklift would be required once hired

Position Description

The Shipping and Receiving Clerk is responsible for performing clerical and physical tasks in connection with shipping packages and receiving incoming shipments. Duties will also include performing various tasks related to assisting other Administrative Services staff in their daily functions. This person may direct and coordinate the activities of other workers engaged in handling goods to be shipped or being received.

The duties of the Shipping and Receiving Clerk include, but are not limited to:

  • Oversee and coordinate the distribution of incoming freight/material to appropriate personnel 
  • Maintain records of items shipped to and from the College
  • Maintain and update files and correspondence for payment and requisition, including packing slips and invoices
  • Prepare incoming invoices for payment
  • Process, photocopy, and file documents and records alphabetically, numerically, and chronologically according to office procedure to maintain an organized and accurate filing system
  • Coordinate community service workers on campus 
  • Gather and organize data used in the preparation of special reports; prepare reports as required
  • Communicate with vendors and college staff to obtain invoices and other documentation
  • Analyze details when comparing invoices with packing slips and purchase orders
  • Other duties and responsibilities as assigned by the Director of Facility Operations and/or Purchasing Agent

Working Conditions

  • Typical office environment with occasional short-term exposure to heat and cold 
  • Moderate physical effort requiring long periods of standing, walking, and periodic lifting of 50 pounds or more
