Minimum Qualifications

MINIMUM QUALIFICATIONS:

An Associate’s degree from an accredited institution in Office Administration, Information Technology, or related field. One-year office experience required.

PREFERRED QUALIFICATIONS:

 

Excellent customer service skills with the ability to work well with the public in high pressure situations. Ability to multitask and to perform detailed tasks accurately with constant interruptions. Strong computer skills with a focus on office applications. Proficiency in word processing and spreadsheets required; General knowledge of office practices and excellent attention to detail required. Two years’ Community College experience in Student Services and/or an office setting at an educational institution. Datatel experience highly desired.

 

Position Description

RESPONSIBILITIES:

 

Serve as first point of contact for students, faculty, and staff requesting assistance from the Registrar’s Office. Filter requests to determine the best approach to provide assistance. Forward requests handled only by the registrar directly to the registrar. (Transcript evaluations, enrollment verifications, etc.)  Maintain student records on the College’s computerized student information system (Datatel).  Enter and maintain course schedules in Datatel and process changes as submitted by the Vice President for Academic Affairs and/or Registrar.  Process curriculum transcript requests for current and former students on a daily basis. Provide transcripts to the local high schools participating in the Career and College Program, and other third party agencies upon appropriate request and documentation.  Assist with verifying graduates. Generate and mail correspondences to current and prospective students. Provide assistance with the maintenance of curriculum course rosters. Maintain supply and distribution of all Registrar Office forms; Monitor the Registrar’s Office supplies such as diploma covers, honors cords, transcript paper, etc.  Must be available to work as scheduled for all college registration sessions (early registration, late registration, and add periods). Process student requests for dropping and adding courses on a daily basis to accurately reflect the date of the request. Forward copies of all drop/add forms to the financial aid office. Process other student requests, such as program of study changes, etc. Serve as the on-site vault keeper of student curriculum records. Ensure the vault is properly secured and visited by staff with appropriate clearance. Maintain student files and appropriate recordkeeping. Supervise office work-study student. Prepare and submit select reports (monthly) to the NC System Office. Serve as primary contact for classroom reservations requested by faculty and staff. Purge former student files annually in accordance to the State Disposition of Records Schedule. Participate in professional development as needed to maintain working knowledge of Datatel for Curriculum management and to stay abreast of Datatel processes/changes.  Must keep confidentiality of student records and personal information in accordance with FERPA guidelines and general professional practices for handling confidential student data. Serve on committees and teams as assigned, and assist with reaccreditation process. Comply with the college’s policies and procedures as outlined in the Policies and Procedures Manual. Participate in preparation of annual unit planning goals. Perform other duties as assigned by the Associate Vice President - Student Services, Vice President – Instruction & Student Services, and College President.

 

COMPETENCIES:

 

Knowledge and experience in records management. Knowledge of Family Educational & Rights & Privacy Act Regulations (FERPA). Ability to interpret policies and procedures.  Excellent communication skills both
