Minimum Qualifications

QUALIFICATIONS:

Knowledge of:

  • FERPA Law
  • Microsoft Office software including Word and Excel.
  • Principles and procedures of record keeping.
  • Excellent spelling, grammar and punctuation skills.
  • Modern office procedures, methods and computer equipment

Ability To:

  • Interpret and apply the policies and procedures of the function to which assigned.
  • Independently problem solve.
  • Multitask and remain organized
  • Utilize technology and computer software such as Microsoft Office Suite, Google G-Suite  and integrated data systems (i.e. Ellucian Colleague).
  • Maintain effective audio-visual discrimination and perception needed for:

    3. Reading and writing
    4. Operating assigned equipment
  • Maintain mental capacity, which allows the capability of:

EXPERIENCE AND TRAINING GUIDELINES

Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying.  A typical way to obtain the knowledge and abilities would be:

 

Minimum Education/Training:

  • Associate degree required.

 

Minimum Experience:

  • At least two years relevant experience working in an educational environment
  • Excellent written, verbal and interpersonal communication skills.

Preferred Qualifications

Preferred Education/Training, Experience, Skills:

  • Experience working in post-secondary student services preferred.
  • Document imaging and Ellucian Colleague experience is highly preferred.
  • At least 3 years of student records and data management experience preferred
  • Bachelor's degree from a regionally accredited college or university preferred

Position Description

DEFINITION

The Career and College Promise Office is searching for a team member who will be tasked with the daily operation of dual enrollment record processing. This position ensures data entry is completed in a timely manner and is accurate and complete. Successful candidates will have strong organizational skills, attention to detail, and ability to multi-task in a fast paced, high volume admission-processing center.  

SUPERVISION RECEIVED AND EXERCISED

  • Receives supervision from the Sr. Director, Educational Partnerships & Initiatives.
  • This position does not supervise other positions.

DUTIES & RESPONSIBILITIES (ESSENTIAL FUNCTIONS):

ESSENTIAL AND OTHER IMPORTANT FUNCTIONS 

Essential and other important responsibilities and duties may include, but are not limited to, the following.

  • Review documents for accuracy and completeness, code documents, resolve discrepancies, and cross-reference data within multiple systems.
  • Provides effective customer service by having a thorough understanding of applicable academic regulations, rules, laws, policies, and procedures related to Career and College Promise functions and applying that knowledge to the provision of information, problem solving, and information processing.
  • Maintains the integrity of Career and College Promise records by understanding the information contained in various databases, acquiring, changing, correcting, updating, or modifying that information accurately and in compliance with Career and College Promise academic regulations, correctly interpreting that information and explaining it to students, staff, and faculty, as needed, and reviewing reports to identify errors and correct.
  • Respond to routine and moderately complex questions and issues concerning Career and College Promise policies, processes, and procedures from internal and external contacts. Identify and resolve various routine and non-routine record problems.
  • Analyze records for accuracy and update inconsistent information. Advise about services, processes, and procedures as needed. Process requests associated with sensitive records and information. Create and maintain files, databases, and reports and prepare informational reports and spreadsheets.
  • Remain competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as required by the supervisor
  • Working collaboratively with other members of the Career and College Promise team, ensure dual enrollment and early college students are coded in the correct pathway(s) and accurate student type codes are assigned and dated correctly.  
  • Remain competent and current through self-directed professional reading, developing professional contacts with colleagues, attending professional development courses, and attending training and/or courses as required by the supervisor.
  • Contributes to the overall success of the Career and College Promise unit by performing all other duties as required.

 

Other Important Functions:

  • Assist staff and students with various support tasks including accessing computerized information.
  • Perform other related duties and responsibilities as required.
  • Required to remain current in the position’s required fields of professional expertise and competencies including computer skills and other knowledge required for job proficiency.
  • Maintain awareness of new developments in Ellucian Colleague, Self Service, Softdocs, and Informer; incorporate any new upgrades into daily responsibilities when necessary.
  • Assist in the promotion and coordination of specific activities and events sponsored by Career and College Promise.
  • Duties of this position will involve working long hours during peak times and may involve attendance at evening or weekend events.
  • Perform other related duties and responsibilities as required.
