Minimum Qualifications
Required educational background:
Bachelor’s Degree required in Eduction, Couseling, STEM, Health Science, Humanities, Social Work or related field.
Required kind and number years of work experience:
- Two years of experience teaching, tutoring, or advising low-income, first-generation students and/or students with disabilities, preferably at the college level;
Required knowledge, skills and abilities:
- Knowledge of and/or experience working with low-income, first-generation college students or related work experience in a collegiate environment;
- Excellent clerical and organizational skills;
- Task-oriented and able to prioritize and complete multiple tasks simultaneously;
- Excellent communication and interpersonal skills;
- Excellent internal/external public relations skills;
- Ability to effectively plan and implement program activities and services;
- Ability to assist students with course selection, financial aid, achieving academic success, preparing for university transfer, and career readiness;
- Demonstrated ability to build rapport with first-generation, low-income students and/or students with disabilities and willingness to advocate on their behalf within the college community;
- Ability to work as an effective part of a team;
- Ability to make effective presentations to a variety of audiences;
- Ability to handle multiple tasks simultaneously and meet deadlines
- Advanced computer skills including database experience, budget experience, and experience with office management software such as Microsoft Word, Microsoft Excel, etc.
Preferred Qualifications
- Experience with federally funded programs, including knowledge of regulations and reporting procedures;
- Familiarity with STEM and Health Sciences undergraduate programs and careers;
- Knowledge of and experience specifically with TRiO or SSS services, objectives, and regulations;
- Experience training and supervising instructors or tutors;
- Strong organizational skills;
- Administrative experience;
- Knowledge of and experience specifically with TRiO or SSS services, objectives, and regulations;
- Experience with Blumen or Datatel databases, and/or Aviso Coaching software;
- Preference given to individuals who have succeeded in overcoming economic, social and academic barriers similar to SSS program participants.

The Student Support Services Program Coordinator provides programmatic and direct support for both SSS programs. SSS operates in three counties (Lee, Harnett and Lee) and the Program Coordinator supports staff and students at all three counties. This position specificity provides administrative and direct student support to the programs.

Essential Duties
- Provide clerical and administrative support to the Director of Student Support Services;
- Oversee SSS office management (answer office telephone, greet public, check and distribute mail, maintain inventory and order office supplies, maintain office calendar of events, schedule meetings, reserve facilities, arrange travel, etc.);
- Assist program staff in administering budgets (maintain documentation of expenditures, create requisitions, p-card documentation and reports etc.)
- Assist SSS staff with communication to participants;
- Assist with student recruitment, review of application, intake and enrollment process;
- Assist the Director of Student Support Services in administering the budget (maintain documentation of expenditures, create requisitions, process check requests, reconcile travel expenses, etc.);
- Oversee the maintenance of program participant files (active participants and alumni), both on paper and in an electronic database, ensuring that each file is complete with application, verification of eligibility, academic records, documentation of participation and academic progress, and documentation of postsecondary enrollment and transfer;
- Monitor early alerts from Aviso retention software for all participants, as well as SSS attendance reports and notes for Supplemental instructions, tutoring, workshops and meetings with staff, intervening as necessary and providing positive reinforcement when possible;
- Plan visit to 4-year colleges and universities and cultural activities for participants.
- Assist Director of Student Support Services with preparation and submission of evaluations and reports, including annual satisfaction surveys, exit surveys, and Annual Performance Report;
- Assist the Director of Student Support Services with the hiring process for full- or part-time staff, documentation of time and effort certifications, and submission of time sheets;
- Assist SSS staff in planning large-scale events and programs, including new student orientations, supplemental instruction and tutoring, workshops, and annual banquets;
- Assist Director of Student Support Services with administration of SSS grant aid program;
- Collaborate with SSS staff and Marketing department to create a Student Support Services newsletter and update program websites each semester;
- Establish relationships and open lines of communication with other CCCC departments to ensure efficient and effective functioning of SSS programs;
- Assist the Director of Student Support Services in securing additional funds to support Program initiatives;
- Engage with SSS staff members to provide formative assessment and continuous improvement of program delivery;
- Meet monthly with the Director of Student Support Services to discuss administrative reports and budget updates;
- Provide direct supervision of all work study students;
- Reserve on campus facilities for office events and programs;
- Reserve college car usage for TRIO off-campus events;
- Provide individualized academic preparation materials for participants,
- Conduct IEPs (Individualized Education Plans) with program participants (in conjunction with staff);
- Conduct Exit Surveys with program participants leaving the program (in conjunction with staff;
- Engage with TRIO staff members to provide formative assessment and continuous improvement of program delivery;
- Attend meetings, conferences and seminars (State, Local and National including overnight stays) related to programs mission and goals (up to 10 days annually)
- Perform other duties as assigned.
